How to Send Messages To Leads

One of the great features included in the Leads Module is the ability to message leads via email or SMS.  There are plenty of reasons why you may want to connect with your lead, like letting them know about special promotions and offers, answering questions about your business, or extending a personal thank you for their interest.  Whatever the case may be, the process for sending messages is as simple as going to your lead's profile.

To begin, click on the lead's name to visit their details page/profile.  

This will bring you to that lead's Details page. Here there are several different buttons below the lead's profile picture and name.  Click on the "Messages" button.

From here, decide if you would like to send an email or SMS.  Keep in mind that most leads are more likely to respond to a shorter message than a formal email.

 

Send Email

To send an email, click Messages and select "Send email".  An email template pop-up will appear with the lead's primary email address.  You can CC any other email address, add a Subject, and construct the Email body using the pop-up.

If you have created any canned responses under the Leads Module Notifications section, you can click use the Templates button to insert those into the email body.  

You can also save and add a signature using the Signature button.

To further customize the email, shortcodes can be inserted via the Insert short codes button.

If you'd like to send a test email to see what your message will look like, click the white Send test email button at the bottom right corner of the popup.  Enter an email address into the main field and then click Send.

When you are ready to send your email, click the blue Send button at the bottom right corner of the pop-up.  You will see a green system alert confirming the email was sent successfully.

 

Send SMS

To send an email, click Messages and select "Send SMS".  A Send SMS template pop-up will appear with the lead's primary phone number.  

Besides the main Message field, there are several buttons to help you customize your SMS.  The link button allows you to insert links. The Insert short codes button allows you to insert SMS-friendly shortcodes to personalize your email content.  

The Send test SMS button allows you to send a test SMS of this message to any number you'd like.

The Choose Template button allows you to insert any SMS templates you created in the Lead Module Notifications section.  

Once you are ready to send your text, click the blue Send button at the bottom right corner of the popup.

A green system alert will appear letting you know that the SMS has been sent successfully.

 

How to Send Forms to Leads

Just like messages, forms can also be sent via email or SMS.  This can come in handy if you are using forms to collect more information about your leads, set up an estimate, etc.  Let's say you are a cleaning business and you are running a pop-up ad for people interested in Spring Cleaning promotions.  You could create an estimate form to gather more details and get the client's preference of date and time for scheduling.  This makes sending forms all the more important for your business.  

To send a form to a lead, first go to the lead's profile by clicking on their name.

Once on the lead's profile page, click on the Forms button beneath the lead's profile picture and name.

Next, select whether you'd like to send the form via email or SMS.  

After this, select which form(s) will be sent to the lead. Then, click the blue Next button.

After this, you'll see a preview of the email or SMS you are about to send with the form(s).  You can edit the template, set a subject, and review the email or text before you are ready to send it.

Once the message has been prepared, the form(s) can be sent by clicking the blue "Send" button.  A green system alert will appear in the top right corner confirming that the forms have been sent successfully.
