The purpose of this article is to help you understand:
- How to set up your leads module email notifications
- How to set up your leads module SMS notifications
Leads Module Email Notifications
To set up your Leads Module email notifications, please go to:
Leads > Settings > Notifications > Email tab
Change Your Send Out Email Address
If you'd like to change the default send-out email address for the Leads Module to something different, you can do so by clicking the "Change" button to the right of the current default send-out address.
A pop-up will appear, giving you the option to use a previously confirmed send-out email address from the "Already saved" list or select the "Add new" option to set up a new email. Once you've selected or entered the email address into the pop-up, click the "Update" button.
A green system alert will appear at the top-right corner of the page, confirming you have updated your sender email address. It will also indicate if your email address is already confirmed on AWS (Amazon Web Service) or if a verification link was emailed to your inbox.
Go to your inbox and find the email from Support@bookingkoala.com. Inside the email, there will be a link that you must click.
Once you've clicked the link, you will be redirected to an AWS page that says "Congratulations!". Once you see this, your email is now verified and you can begin sending out email notifications.
Back in your BookingKoala dashboard, you can also set up a Reply to email address and set your Sender name. Just be sure to click the "Save Changes" button at the bottom of the page once you've made your edits.
Leads Module Master Templates
Below the email setup section, you will find two default master templates. These can be edited to apply your branding and other formatting to the emails that come out of the Leads Module.
Click on "Options" to Edit, Delete, or Duplicate a master template, and "Apply to email" to apply it to the email templates listed below.

Leads Module Email Templates
There are three categories under the Email Templates section of the Leads Module: emails to the lead, emails to the admin, and canned responses.
Emails to the lead and the admin can easily be enabled or disabled depending on your preference by clicking the toggle button.
To edit a template, click the pencil icon/"Edit" button under the Action column. Shortcodes can be inserted into email and SMS templates to further customize them.

As always, be sure to click the "Save" button at the bottom of the page if you make any changes.
Leads Module SMS Notifications
To set up your Leads Module SMS notifications, please go to:
Leads > Settings > Notifications > SMS tab
There are three fields that must be completed to connect your Twilio account.
- Account ID
- API key
- Phone number
Open your Twilio dashboard and scroll down to the Account Info section.
- If you do not have a Twilio account yet or need help generating your API keys, please click here.
- Account ID - Use the "copy" icon at the far right end of the box to copy and paste your Twilio account ID (or "SID") into the first box in BookingKoala. Your account ID will always begin with "AC" and then a long string of numbers and letters.
You can also find your account ID by going to Admin > Account Management > API keys and tokens in Twilio. - API key - Copy and paste the Auth Token into the box that says "API Key".
- Phone no. - Copy and paste your phone number into the third box.
- Make sure your phone number is entered exactly as it is pictured under "My Twilio phone number". Enter "+" plus your country code followed by the rest of the phone number.
- For example, "+15672299756" is correct.
- "15672299756" is incorrect.
- "5672299756" is incorrect.
- "+1(567)2299756" is incorrect.
- "+1-567-229-9756"is incorrect.
You can also find your phone number by going to Phone Numbers > Manage > Active Numbers in the left side menu in your Twilio dashboard.
- Make sure your phone number is entered exactly as it is pictured under "My Twilio phone number". Enter "+" plus your country code followed by the rest of the phone number.
Once you have entered each piece of information into the boxes in BookingKoala, click the "Save changes" button at the bottom of the page.
A green system notification will appear in the top right corner of the page, confirming your Twilio account has been connected successfully. The system is now ready to send out any SMS templates you have enabled.
Leads Module SMS Templates
Just like email templates, SMS templates can be toggled to enabled or disabled depending on your preference.
SMS templates can be edited using the pencil icon/"Edit" button under the Action column. There are also SMS shortcodes that can be used to further customize your lead and admin templates.
