Upgrade or Downgrade Your BookingKoala Subscription

Perhaps your company is growing, and you want to upgrade your BookingKoala subscription to add more providers and take advantage of the Premium features. Or, maybe you are still in the setup phase and would like to downgrade your account until you are ready to launch. Either way, you can upgrade or downgrade your BookingKoala subscription at any time directly from your admin account.

To change your subscription plan, please go to:

Settings > Account > Subscription Plans

Scroll down the page until you see the three main subscriptions.  Your current plan will have a green label that says "Current".  The other plans will have a blue button that says "Select". 

Click the "Select" button beneath the plan you would like to upgrade or downgrade to and a side panel will open.  Here you can decide whether to use the card on file or add a new card for the plan change charge.  Then click the "Save" button to complete the change.

If you are already a Premium subscriber and would like to look at larger Premium plans, click on the green "See Larger Plans" button at the top section or scroll further down until you reach the "See Larger Plans" button.  

Use the slider to see the price per month and details of what is included in each subscription.  Premium plan pricing differs based on the total number of providers or data in gigabytes as well as the total number of contacts included in the Campaign Module.

For example:

  • If you anticipate working with up to 100 providers, please select the Premium $397 plan which accounts for 100 total providers.
  • If your account currently uses 85 GB of data, select the Premium $357 plan that accounts for up to 90 GB.
  • If you have just over 5000 contacts stored in your Campaign Module, select the Premium $237 plan so you have room to grow up to 10,000 contacts.  

Once you've toggled to the plan you would like to choose, click the blue "Select" button, select a card for the prorated subscription charge, and then click "Save".

A green system notification will appear at the top right corner of the page, confirming your subscription has been upgraded.  

 

Prorated Subscription Charges

Please note that when you make a subscription change, the payment will always be prorated based on the adjustment, ensuring a fair and accurate charge.  This prorated amount will be reflected in your next billing statement.

  • If you upgrade, the system will charge the additional amount for the remaining time in the current billing cycle immediately, and then the monthly prices will be charged on the billing cycle.
    • For example, if your billing date is on the 13th of every month and you decide to upgrade on the 1st of the month from the Growing $57 plan to the Premium $197 plan, you would only be charged $54.01 for time already spent on the Growing plan.
  • If you plan to downgrade your account, the system automatically credits the difference to your account and applies it to your next upcoming balance. 
    • For example, if your billing date is on the 24th and you downgrade on the 31st from the Premium $197 plan to the Growing $57 plan, your account will be credited $108.99 which will be applied to your regular monthly payments.

Common Errors When Downgrading

It is important to consider how you are currently using your BookingKoala account when deciding to downgrade your subscription, as it may impact your ability to do so.  This is because each subscription contains features that may not be included in a lower-tier plan.  If you are currently utilizing a feature that is only available on the Growing or Premium subscriptions and want to downgrade to the Starter plan, you may need to disable or delete certain types of data from your account before you can proceed.

A few of the most common restrictions when downgrading to a smaller plan are as follows.

 

Total Number of Providers

The total number of providers you can have in your account (both active and deactivated) varies based on subscription.  

  • The Starter $27 subscription allows for up to 5 total providers.
  • The Growing $57 subscription allows for up to 15 providers.
  • The Premium $197 subscription allows for up to 50 providers.
  • Larger Premium subscriptions allow for more than 50 providers.

For example, if you have 20 total providers (including deactivated provider accounts) and you want to downgrade to the Growing subscription, you will need to delete at least 5 provider accounts before you can continue.

More Than One Industry

If you are looking to downgrade from a Growing or Premium subscription to a Starter subscription, you must ensure that you have only one industry.  

  • The Starter $27 subscription allows for one industry.
  • The Growing $57 and Premium subscriptions allow for unlimited industries.

If you have multiple industries set up, you will need to delete whichever industries you do not want to use.

More Than One Location

If you are looking to downgrade from a Growing or Premium subscription to a Starter subscription, you must ensure that you have only one location.  

  • The Starter $27 subscription allows for one location/service area only.
  • The Growing $57 and Premium subscriptions allow for unlimited locations and service areas.

If you have multiple industries set up, you will need to delete whichever locations you do not want to use.

Contacts in the Campaign Module

Each Premium subscription contains a different threshold for the amount of contacts you can have stored in the Campaign Module.

  • The Starter $27 and Growing $57 subscriptions do not include the Campaign Module.
  • The Premium $197 plan allows for up to 5000 contacts.
  • The Premium $237 plan allows for up to 10,000 contacts. 
  • The Premium $277 plan allows for up to 15,000 contacts.
  • The Premium $317 plan allows for up to 20,000 contacts.
  • Etc.

If you are looking to downgrade to a smaller Premium subscription, you will need to ensure that you do not exceed the guidelines for the total number of contacts in your desired plan.

Premium Checklist Features

If you are using multiple dependencies for your checklists or are using the same checklist across multiple service categories, forms, and industries, these are Premium features. Until you remove these components, you will not be able to downgrade to the Starter or Growing plans.

  •  The Starter $27 and Growing $57 s subscriptions allow you to create a unique checklist for each service category.
  • The Premium subscriptions also allow you to create unique checklists for each service category, however, you also can:
    • Set up dependencies based on parameters such as location, frequency, or extras
    • Make "EXACT/ANY Combinations"
    • Use the "Exclude checklist option"
    • Use the same checklist for multiple industries and forms
